Instructions for Running the Sanctuary A/V System

Turn every thing on:

  • Turn on the switch on left to power on the sound system.
  • Turn on the LCD monitor.
  • Turn on the computer.  (The power button is on top.)
  • In the top drawer on the right, you will see four remotes.  Two of the remotes are identical; either one of them can be used to turn on the two TVs up front.  Take one of them and walk up in front of the first pew.  Point it at each TV and push the power button for at least one second.  (Patience; there is a delay of several seconds before the TVs actually power on.)
  • The other two remotes control the projectors; the larger one controls the front projector and the smaller one controls the rear.  There is a small box with what looks like a white button on it, sitting to the right of the monitor.  Point each control at the small box and push the power button for at least one second.  (Once again, have patience; there is a delay of several seconds before the projectors actually power on.)

Log into the computer using the “avuser” account.  The password is “newcreation.”

If the service for today is not yet on the computer:

  • Plug the flash drive containing the files for today into the computer and wait for the device to be ready for use.
  • Double click on the SyncBack icon on the desktop.
  • You’ll see two choices.  Double click on the choice which copies files from the flash drive to the computer.  (Be CERTAIN you don’t mix up the two choices; the other will copy files from the computer to the flash drive, which would overwrite the service for today.)
  • After a short delay, you’ll see a list of all the files which will be copied from the flash drive.  Some files on the computer may also be listed for deletion.  Verify that the “from” device is the flash drive (Drive I:) and that the “to” device is the computer’s hard drive (Drive C:).  If all looks well, click on “Continue”.
  • When the copy operation is finished, you can exit SyncBack.

Run OpenLP:

  • Double click on the OpenLP icon on the desktop.
  • In OpenLP, open the worship service “.osz” file.  It should be located on the C: drive, in “\OpenLP\HPC files\events”.  NOTE: you can’t double-click the file to open it; you have to click on “File” in OpenLP (at the upper left) and then click on “Open”.
  • Click on “View” at the top, and then click on either “Default” or “Live” to make sure you are ready to control the projectors & TVs for the service.
  • At this point you should be ready to run through the various slides, songs, videos, etc. in the service to make sure they are all working properly.
  • Remember to click on one of the little screen icons to blank out the screens and TVs when no slides or songs should be displayed.  Note that there are usually three choices:
    • Blank screen (black screen icon)
    • The picture used in the currently-displayed theme (orange & black icon)
    • Computer background screen (blue icon)
    • Each icon is like an “On/Off” button; click to turn “on”, click again to turn “off”.
  • Use the Down arrow key on the keyboard to move through multiple screens in a slide show or a song, and to move on to the next item in the service.  You can also use the mouse and double-click to move through different slides or to move to the next item.
  • If the first item is “Announcements”, you can set it up to automatically go through the slides.  Just click on the arrow by the little timer icon next to the screen icon and select “Play Slides in Loop”.

The sound equipment:

  • As a general rule, don’t mess with the “Master” dial, which controls the level of sound for everything connected to the mixer.  Use the individual dials for the various components (wireless microphones, the pulpit, the lectern, the computer’s sound, etc.)
  • The dials which control the pulpit and lectern are labeled.  Generally you can leave these dials turned on.  You may have to turn them up or down a little bit, depending on how close the speaker is to the microphone.
  • You will need to turn the dial for a wireless microphone all the way down if the person wearing the microphone turns it off when not in use.  Don’t forget to turn it back up when that person has a speaking part.
  • Videos and sounds from the computer are controlled with the “Aux” dial.  And of course, on the computer itself, in OpenLP, there is also a sound volume control slider whenever you are playing a video or audio file.

When the service is finished, shut everything down:

  • Walk up to the front pew again to turn off the TVs with one of the TV remotes.  Push and hold the power button at least one second.  The TVs should turn off immediately.
  • Turn off the front projector using the larger remote and pointing it at the small box to the right of the monitor.  NOTE:  There is a different button on this remote to turn the projector off, at the upper right of the remote.  Press the button once, until you see a small prompt on the projector screen; then press the button again.
  • Turn off the rear projector using the smallest remote and pointing it at the small box to the right of the monitor.  Press the power button once, until you see a small prompt on the projector screen, then press the button again.
  • Shutdown the computer in the usual way for a Windows 7 computer:
    • Click the Windows icon at the lower left of the monitor screen.
    • At the lower right of the menu that appears, click on “Shut Down”.  If you don’t see that as a choice, hover your mouse over the little arrow to the right at the bottom of the menu and then select “Shut Down”.
  • Turn off the computer monitor on the table.
  • Turn off the switch on the left to power down the sound system.
  • Put the projector remotes and TV remotes back in the top drawer on the right.

Bask in the glory of knowing that you are now one of the church’s A/V gurus.
